waiting for Godot: how to follow up structurally and practically?

Ikke, follow up? I have no say in the work and in the projects I'm in because I'm not a manager so I'm not in a position to follow up!

It's easy to argue but... how many times do you have to wait for someone before you can get on with your work? Right? And waiting, and waiting, and waiting... until you can move on. Here we come to an important crossroads.

It's common to hear statements like well, it's up to the Rudi, I just emailed him about that last week or I'm waiting for Sarah and she's sick, and more: Fatima is working on it, it's been on my boss's desk for a week, it's with den Bram waiting for a response from the supplier, the members of the project group have different priorities and so on and so forth, sigh...

System umbrella

Popularly, this is also often perceived as a system umbrella: you cover yourself up. CYA. Cover your.. . yes, that. Although, of course, unjustified if the person who succeeds is too good, there is a risk that you will accept this as a successor, chief, department and even as an organization. A pattern that is reinforced by an organization where there is a culture of punishment, whether or not combined with an environment where enormously changing priorities and projects play a role. The result: structural loss of time and energy that costs a lot of money and frustrations, is certainly not satisfying and creeps into culture on a

regular basis.

Huge cost, huge loss of business!

The more unwanted delays occur, the more capital, time and therefore operating profit are blocked & where motivation, job satisfaction and enthusiasm plummet.

On average, how many weeks does your work or work in your department or organization delay because the information you need isn't immediately there? And what frustration rate would you give yourself or your organization in that area? How many hours do you and your organization lose each week following up on things that are being waited for? Or has the fight been given up and the pattern has already been internalized

?

So it's high time for action! How do we turn energy loss into energy gain so that you get a 200% plus effect? From system umbrella to system umbrella!

System umbrella

System umbrella, the other side of the intersection: the CYA technology but applied in a positive, constructive way. Where the umbrella system blocks and immobilizes, system umbrella puts everything back into cooperation. Everyone has the right to be controlled, a former chef once told me. The associated productive reflex is:

When you delegate or follow up something, plan its follow-up immediately: in God we trust, all the rest we check. And of course, this follow-up also applies to your customer, dear colleague, chef or higher hierarchaic management. Remember: everyone has the right to be controlled. That's how you help each other. This isn't insubordination, it's just working together. A matter of collegial ownership.

Here are 3 ways in Outlook taken as examples:

1. via a folder: you create a “2. follow-up” subfolder under your inbox, where you drag and drop the mail to follow. The number “2.” simply include yourself in the description of the folder and use it to indicate that the folder is active: this only includes work that still needs to be done. In this way, you can turn it into an active archive. Read the blog , archive it, whoever does their best will learn: keep an active and permanent mail archive! If you wish, you can even put a counter on the folder, so that you can continuously see how many emails are still in it to follow up. 2. via a task: however, if you have more than a few dozen to more than hundreds of things to follow, it's smarter to work with tasks. With Ctrl+sh+k, you can easily create a task that you can provide with a specific follow-up date. In Outlook, you can create an entire customized task administration. 3. by flagging: the quickest way to turn an email into a task is to flag it. You can also have that come back on a specific date, after which - if you have set up your system correctly - you can drag the email in question to your final archive, away from your inbox. TIP: I myself make sure that emails sent automatically reappear in my inbox, where I can flag them immediately for follow-up and then immediately archive them permanently. That saves clicks and more than 90% of the emails I send ask for follow-up. An additional advantage: shipped items are among the items arrived and can simply be removed at the end of the day. During coaching sessions and through my own experience, I see many other systems: Evernote, SharePoint Server, OneNote, MS planner, Todoist, Slack, etc. All good, as long as you can do your thing with it and offer an overview! And as long as they are simple, otherwise the application will be diluted
